The Client Affairs Service Teams / Deprivation Of Liberties Safeguards (DOLS) Team

We are looking for an Administrator within Adult Services to carry out admin tasks for both The Client Affairs Service Teams and the Deprivation Of Liberties Safeguards (DOLS) Team.

Client Affairs work with service users, their care managers, carers and external contractors, to ensure that vulnerable adults who are unable to manage their financial affairs are protected from exploitation and, wherever possible, empowered to utilise their resources in ways which accord with their wishes, beliefs and lifestyles.

The DOLS Team provide protection for vulnerable people who are accommodated in care homes or hospitals in circumstances which amount to a deprivation of their liberty and who lack capacity to consent to the care or treatment they need.
Both of these teams provide support and training to practitioners and users of their services.

You will provide administrative support for both of these teams. It is essential that you possess good communication and organisational skills, and have administrative experience in an office environment. You'll have proven numerical ability and possess excellent written and oral communication skills. Your duties will involve everything from assessing customer requirements and responding to routine enquiries, through to monitoring budgets and resources. You will therefore need proven administrative experience, good IT and communication skills, plus GCSE level qualifications or equivalent at grades A – C, including Maths and English.

Highly motivated, you will have the ability to work under pressure, be able to approach tasks with confidence and clarity, using your own initiative. You will need to be flexible in your approach, have the ability to work as part of a team and will be rewarded by great support from your colleagues. This vacancy is available due to the expansion of both services.

Job Purpose:

To develop and implement a comprehensive, effective and efficient administrative support service to meet business requirements.

Role Responsibilities:
  • Compilation of routine letters, e-mails & word processing of other correspondence including letters, mailshots & reports as required by teams/management
  • Reception duties including opening of post, answering telephone, message taking & dealing with routine enquiries/signposting
  • Enter complex Client Data onto a database, updating & maintenance of client information system (AIS), including compilation of statistics for management information, with the use of Excel spreadsheets
  • General admin duties ie; filing, photocopying, faxing etc,
  • Scheduling of meetings, booking venues and refreshments as required
  • Minute-taking at meetings - to include sending of invites, meeting/greeting visitors, typing up & distribution of minutes with strict deadlines
  • Ordering of stationery (Using SAP procurement system)
  • To undertake any training required for job role
Role Requirements:

Essential Qualifications, Knowledge, Skills and Experience:

  • GCSE or equivalent in English and Maths.
  • Experience of providing a frontline service to customers
  • Effective communication skills both written and verbal
  • Ability to prioritise workload, multi-tasking with minimal supervision & adapting to changing priorities
  • Experience of working with confidential/sensitive information
  • Ability to compile routine letters, e-mails and other correspondence
  • Input & interrogation of computerised information using databases
  • Aptitude to learn bespoke IT systems
  • An excellent team player with a flexible approach
  • Good organisational and time management skills
  • Ability to build/maintain good working relationships with managers & staff
  • Awareness of equalities issues and anti-discriminatory practice
  • A good working knowledge of Microsoft Word, Excel and Outlook
  • General administrative experience


Desirable Qualifications, Knowledge, Skills and Experience:

  • NVQ 1 in administration or equivalent
  • Taking minutes of meetings (shorthand/long-hand or laptop)
  • Experience of working in Public Sector environment or similar
  • Experience of using SWIFT IT system
