Job Purpose / Summary:

A vacancy exists for a highly motivated individual as a Business Support Officer to join an existing team to provide support for the safe, effective and robust business and administration functions associated with the delivery of PHE West Midlands Centre business.

We are looking for someone who has proven track record of effective administration and organisational skills including excellent minute taking and have the relevant secretariat experience to service Executive Meetings; providing similar business support services and working to tight multiple deadlines. The individual should also have experience of managing diary and procurement skills. You must be a confident team-player, working proactively and within a multi-disciplinary team supporting others with minimum supervision using your own initiative and must have the ability to plan ahead and pre-empt potential obstacles to delivering the business.

The ideal candidate should have experience of working with Executive Members and other corporate teams preferably from within a business support environment and be able to respond to sudden unexpected demands.

Excellent oral, written, communication skills are essential in delivering a high quality service at a senior administration level.

The post holder will:

    • Provide a range of administration support functions to the Centre Operation Manager/Centre Director. This includes, setting up of various meetings and ad-hoc travel arrangements.
    • Prepare agendas and papers for meetings and provide secretariat support for Executive and other network meetings.
    • In the absence of other support staff in the Team, provide support in managing a complex diary for the Centre Operation Manager, dealing with confidential and sensitive information, ensuring that the appropriate degree of confidentiality, discretion and tact is adopted at all times.
    • Oversee the placement of goods and services using a procurement system.
    • Maintain constructive relationships with a broad range of internal and external stakeholders.
    • Participate in relevant internal and external working groups/projects, services, and initiatives and provide relevant information to the Centre Operation Manager.
    • Work with members of the team to develop and implement effective processes and systems for the business.
    • Be a key member of the broader Corporate Management Business and Admin Team within the Centre to ensure smooth delivery of business and administration services
