Receive and process client requests for support, source/engage and manage external contractors. Supervise works to ensure value for money and maintenance of SLA's. To provide a complete and responsive administration service to our Facilities function. The role is varied and you will also be the interface for the business with the contractor responsible for Calibration, as well as taking on any other ad-hoc tasks where necessary. Administration duties will include collating and processing purchase requests, liaising with the accounts team to ensure accurate and timely payments are made and keeping up to date records of supplier information.
Key responsibilities and duties:
Facilities administration of PPM system and reaction works as required
Raising PRs for approval for spares and works
Enforce and maintain site established contractor control procedures
Ensure that all contracted works are carried out in line with industry best practices
Ensure legal compliance
Ensure all works are completed on a cost-effective and timely basis
Operate and maintain Facilities software and manage maintenance tasks required
Adherence to our Quality Management Systems (QMS), Safety Management Systems (SMS), Environmental Management Systems (EMS) and all associated Business Manuals.
Liaise and co-ordinate with calibration contractor to maintain all calibrated items in-date and serviceable.
Ensuring that Continuation Training is up to date and that packs are read and signed for
Experience of Hard and Soft service contract supervision (Desirable)
Computer Aided Design (CAD) (Desirable)
Electronic CAFM software e.g. Facilities Desk or similar (Desirable)
Good organisational skills
Basic understanding of plant and property maintenance
Good understanding of basic engineering principles
Good understanding of Health, Safety and Environmental regulations and legislation
Competency with standard MS Office applications
Formal Facilities Management training i.e. BIFM or ILM award or above (Desirable)
