Overview Provide effective and efficient client (internal & external) focussed administration and reception support to a busy accountancy practice.
Specific Duties & Responsibilities •Producing a range of documents prioritising the requirements to meet the agreed deadlines. •To scan incoming post, manage outgoing post, binding documents, scanning, updating databases. •Updating of practice management database as required •Accurately record time spent on specified tasks and complete a timesheet to reflect these •To provide support for other projects as required •Proactively comment on systems and procedures to identify procedural changes that will enhance efficiency •Provide general office assistance and secretarial support to the partners of the office •Organising events and functions including arranging the facilities, lunches, equipment, refreshments and ensuring that the event runs smoothly and within agreed budget. •Ad-hoc cover for other offices in the area (most likely to be Chippenham and Bath). •Provision of cover for front of house support staff including: •Cover for reception when required, welcoming visitors both in person and on the phone, handling phone messages accurately and efficiently, arranging couriers and managing contractors access on site •Ensure the reception area is maintained to a high standard, ensuring all equipment and refreshments available •To organise archive retrieval of files for internal customers •Controlling client records ensuring these are listed when delivered and returned promptly.
Personal Specification •A good standard of general education, including GSCEs C or above (or equivalent) in English and Maths •Previous experience in similar role. •Good Microsoft Office skills: Word, Excel. •Excellent communication skills both verbal and written. •Excellent prioritisation and time management skills. •Able to work in an organised manner to strict deadlines. •A driving licence and access to a car is essential.
Hours - This is a permanent position. Hours are 9am-5pm Monday to Friday (4.30pm finish on Friday) .
Location - Trowbridge.
