If so, NSL are currently recruiting for a Office Administrator to be based in Dingwall

Purpose of Role

Support the service centre manager with the management of all office administration within NSL Dingwall; liaise with contractors, 3rd party suppliers and other Marston colleagues to ensure the smooth running of all administration on site

Key Accountabilities


Promote best practice at all times
Liaise with visiting contractors ensuring they sign in and are showing waiting area
Ensure smooth running of all office services to provide a pleasant working environment
Implement and monitor safe, clean and clutter free initiatives
Manage contracts and service levels with all suppliers of goods and services
Ensure 3rd party suppliers are monitored and reviewed to make certain service levels are continually met and continuous improvement is incorporated into contracts


Administer the payroll system and ensure all colleagues receive accurate and timely remuneration, resolve any resultant queries from colleagues, liaise with central payroll department.
Administration of Recruitment system and process liaising with candidates and recruiting manager, arrange pre-interview tests, arranging and where applicable participating in interviews.
Administer and act as SME for Cascade HR system including maintenance of accurate database.
Support daily financial reconciliations, raising both Purchase and Sales orders
Keep all office service policies are up to date and ensure they are communicated and adhered to be all staff
Liaise with onsite contract staff, i.e. security, cleaning, maintenance and caterers
Provide support for meetings, including preparing rooms and arranging catering.
Meetings to ensure achievement of expected performance and service levels, i.e. with suppliers and with internal focus groups and producing performance records
Responsible for the effective day-to-day running of the office, providing facilities management and administration support
Processing, franking and delivering internal and external daily mail, and distributing to the relevant departments
Providing administration support to the Service Centre Manager
Maintain the purchasing/ lease contracts for any relevant head office equipment
Office visitors – internal & external, meeting room bookings, postal procedures, out of hours working, general office policies, couriers, cleaning & waste disposal, catering services as/ when required, visitor parking
Act as a Fire Marshall for the office
Act as a First Aider for the office
Health and Safety Administration and support H&S Manager to carry out risk assessments, site inspections, ensure correct policies and procedures are being followed, record incidents/accidents.

Relevant Skills

?Good IT literate: Word, Excel, Access, PowerPoint and Outlook


A confident individual who is able to demonstrate strong communication and customer service skills and will have the ability to build relationships quickly
Proactive and a flexible team player who enjoys working in a fast-paced environment and you will take a methodical approach to tasks, ensuring attention to detail
Previous knowledge or experience of contract management and facilities
Excellent communication skills and good organisation skills
Previous administration experience ideal
Ability to work in a fast moving and dynamic environment
Good Knowledge of all MS Office applications, word, excel, PowerPoint
Ability to work to tight deadlines and manage multiple projects simultaneously
