We are looking for a Senior Administration Assistant to work in our Children's Services Learning Support Team, who is committed to providing excellent customer service supporting delivery of our training, events, and innovative workforce development support projects.

You will provide comprehensive administrative and reception support within a fast-paced training and development environment. You will be an effective planner, well organised, resilient and diplomatic. Excellent communication skills are essential, as well as the ability to work on your own initiative, and a positive and flexible approach to teamwork. In return, we provide full training for the role and offer support to develop and maintain wellbeing and resilience.

Role Responsibilities:
  • Provide efficient training event administration; process bookings and correspondence; prepare training materials; setting up training room and equipment in readiness for training events.
  • Assign events to appropriate venues and co-ordinate arrangements, equipment and other resources as required.
  • Liaise with training providers and facilitators.
  • Maintain booking and training data and compile reports using our Learning Management System (LMS) and other electronic data sources.
  • Ensure correspondence is progressed within defined standards and timescales.
  • Respond effectively to enquiries, referring to senior staff where necessary.
  • Undertake procurement tasks such as raising purchase orders, issuing customer invoices and credit notes, tracking and recording financial transactions.
  • Support colleagues to improve efficiency and ensure consistency of service by sharing expertise and good practice.
Role Requirements:
  • GCSE grade A-C in English and Maths, or equivalent.
  • Knowledge of Microsoft software packages including at least; Word, Excel and Outlook.
  • Ability to respond flexibly and positively to changing requirements.
  • Experience of delivering excellent customer service.
  • Ability to plan own workload and meet deadlines whilst working on own initiative with limited supervision.
Working Conditions:
  • Manual handling of objects of up to 15kg.
  • Display screen equipment user.
  • Meet occasional travel requirements of the role.
