Executive Assistant Opportunity

We are recruiting for an experienced high-level Executive Assistant for our busy entrepreneur / business owner who requires assistance to manage her hugely busy daily life covering a number of varying types of businesses. The role is London based, full-time.

Role overview

The Executive Assistant (EA) will provide 1:1 full administrative and organisational support to the Business Owner coordinating and managing her daily working schedule via full direction and control of her multiple diaries, communicating and representing the business on her behalf, and effectively being her right-hand person. They will be an experienced high level EA with strong leadership skills and the ability to take responsibility for all tasks within their remit continually guiding and planning for the Business Owner throughout the day. Based in her stunning Central London offices you will act as gatekeeper, working within the team to balance all aspects of her businesses and personal life.

Working predominately in the role of Principle Partner of a very successful practice of St. James’s Place Wealth, our entrepreneur / business owner is also heavily involved in being the Founding Partner of an alternative business, Co-founder of a Nepalese Charity as well as being a wife and mother based in their family home based in Northamptonshire.

The role will require a super switched on, forward thinking, articulate and well-polished Executive Assistant to support in this role.

Role content

This is an exciting opportunity that truly encompasses the spirit of a traditional EA. Fully managing her multiple busy diaries and inboxes you will act with discretion and diplomacy. You will be the first point of contact, meeting and greeting clients whilst also assisting with admin overspill. You must be polished, have an excellent telephone manner, strong attention to detail and a solution driven approach. You will need to be a chameleon, turning your hand to anything that is required of you, juggling priorities and striving for perfection. Someone who is resourceful and can hit the ground running with emotional intelligence, confidence and adaptability.

This is a varied role full of autonomy and opportunity; from contributing to meeting preparation, researching and booking travel, overseeing renovations at the family home or running personal errands. Fit is key and she is looking for someone who can roll up their sleeves and act as her right hand, who can think as her, is able to switch between the different worlds she is involved in and understand how they all fit together.

You will be happy to do the mundane to the highbrow in an un-precious manner, with drive and enthusiasm. In return you will be rewarded financially and with the breadth of the role, continue to learn on a day to day basis.

Role requirements

  • Exceptional Outlook, diary & task-management skills – ability to manage multiple diaries which do not merge.
  • Excellent I.T. Skills - with a high level of proficiency in Microsoft Products Word, Excel, PowerPoint, Outlook (including Task Management), CRM systems knowledge, internet research and social media proficiency.
  • Previous EA experience, preferably within the financial sector
  • Providing 1:1 support to the business owner on a daily basis.
  • Being the eyes, ears and voice of the Business Owner in their absence as required.
  • Developing and building relationships with the Business Owner, team and wider team members to build a solid support network.
  • Ability to manage own workloads, confidence in approaching others to solve problems and gain experience.
  • Demonstrate good judgement and the ability to multi-task
  • Proactive in approach – listens to what the Business Owner needs and actions accordingly in a timely manner
  • Ability to work effectively under pressure to meet tight deadlines where required
  • First class organisation skills to deliver against a wide variety of tasks; ability to work with speed and accuracy and provide clear updates with regard to work in progress
  • Full Client servicing for UHNW (Ultra high net worth) clients
  • Full diary / email inbox management for multiple diaries which operate in isolation from one another.

  • Able to demonstrate they continually follow through on tasks

Additional detail

  • Salary: £40-60K OTE per annum, dependant on skills and experience
  • Location: London, Lombard Street, EC3V 9BQ
  • Hours of work: Monday to Friday, 8.30am – 5.00pm, 37.5 hours per week.
  • This role is immediately available due to internal progression
