Patent Formalities Specialist

Here at GSK, we have a vacancy for a Patent Formalities Specialist to join a friendly and highly supportive team. You will manage your own portfolio within an assigned number of Attorney’s to handle all formality responsibilities, therefore you will need to be accountable and versatile in your approach and happy to take on a variety of tasks.

This role offers you the opportunity to work in a broader team, gaining experience in a high performing legal environment and taking accountability of your individual tasks. You will be given opportunity to bring new ideas to the table, take on development opportunities and connect and learn about other functions.

Key responsibilities:

As part of a proactive team, your role will be to support a number of assigned attorneys which may include but not limited to:

  • Maintenance of department’s database and diary systems and updating of all data on pending and granted/registered patents and designs
  • Preparation of all internal and external documentation for worldwide patent and design filings, including sending instructions to agents and monitoring acknowledgements and filings
  • Preparation of all formal documentation necessary to meet legal requirements (e.g. Powers of Attorney; Assignments), including arranging for notarisation/legalisation as appropriate
  • Monitoring and complying with deadlines for submission of subsequently filed documents
  • Understanding of the operation of the European Patent system, in particular its formal aspects
  • Preparation of new European filings (including national/regional phase/divisional applications) and calculation of fees payable on filing
  • Understanding of the operation of external fee-paying processes
  • Recognising significance of next tax dates as they generate on TIPMS/Anaqua and taking appropriate action with regard to manual payment requirements.
  • Prioritisation of a complex workload with conflicting deadlines
  • Ability to communicate effectively with and to provide guidance to immediate colleagues and the wider IP Services team, making recommendations for continuous improvement to processes thus ensuring consistency in patent practices
  • Following procedural changes and managing the updating of documentation to ensure continuous process improvement
  • Preparation of Corporate Powers of Attorney and monitoring expiry dates and renewing Powers as appropriate
  • Management of own workload and prioritisation of deadlines using diary management systems
  • Ability to make decisions on procedural issues and to provide assistance to senior members of the team

About you:

To be successful in this role you will be a flexible team player who is able to prioritise and problem solve effectively. You will have the innate ability to communicate effectively and provide support to immediate colleagues and the wider IP Services team, making recommendations for continuous improvement to processes, thus ensuring consistency in patent practices. You will be confident in implementing procedural changes and managing the updating of documentation to ensure continuous process improvement and be able to deal with multiple requests with a proactive and pragmatic approach.
