Location: Head Office, Beaconsfield Buckinghamshire

Responsible to: Directors/ Operations Director / Finance Manager

Monday to Friday (Half hour lunch break)

Contractual Status: Permanent

Subject to successful completion of a six months’ probationary period

Key Responsibilities, Tasks and Activities

  1. First responder in answering the office phone
  2. Assisting recruitment manager with vacant roles from resourcing candidates, chasing oustanding documents and references
  3. Collecting and managing all items relating to the daily post
  4. PA & Admin duties as requested by the CEO, Directors and senior managers
  5. Filing and Shredding daily or as required
  6. Managing the ordering of equipment for the office and services
  7. Assisting the finance assistant or manager with any data entry or admin tasks as required.

Additional duties

  1. Letter writing and mailing as requested by Directors or Managers
  2. Managing all service & office utilities licences and contracts
  3. Organising and managing the office and service phones & Internet
  4. Managing the Health & Safety compliance data
  5. Vehicle Management
  6. Manage an purchase the company mobile phones and billing
  7. Be the lead contact for any IT queries and issues in the office. Call the fault through, record and monitor until resolved.

To complete any other duties as instructed by the Directors, Operations Director or managers that is reasonable in line with the level of responsibility and experience of the post holder.

Key Relationships

To work with Directors of the company, Operations Director & Finance Manager.

To liaise with service managers and staff regarding the effective flow of information

To work flexibly with the other office team
