Admin support Team Leader We are a busy GP practice in Gorebridge recruiting for an exciting new position within the practice. Job Summary: The successful applicant will be responsible for providing comprehensive and high quality team leadership, administrative and secretarial support to the Practice. The role will cover 3 key elements: 1. Supporting the Practice Manager with workload and deputising in the practice managers absence 2. Supporting the reception team – including covering reception when required 3. Supporting the medical secretary – including covering the position when the secretary is absent from the business and when workload it very high In this busy role, the team leader will work collaboratively with the general practice team and project a positive and welcoming image to patients and other visitors, either in person or via the telephone. The role will be varied and the successful candidate will require to possess excellent computer skills. Job Responsibilities: Provide support to the Practice Manager Provide support and leadership to the reception team – ensuring full coverage at all times Provide support to the medical secretary as and when required Assist the practice manager with recruitment Organise and support new team members training Assess the effectiveness of processes and procedures and report back to the practice manager Answer team member's questions and help with problems Admin tasks such as rotas, filing, ordering supplies, inputting appointment templates onto the system, typing up minutes, produce reports and letters, record keeping and other general office tasks H&S - ensuring we are compliant with all policies and keeping track of training and documents for all staff GDPR/Data protection – ensuring we are compliant and record keeping is up to date Deal with IT issues and log with IT support desk where you are unable to resolve the issue Collate paperwork for new joins and organise IT set up Listen to team member's feedback and resolve any issues or conflicts Organise own workload without supervision on a daily basis Ensure excellent patient care, in person and over the phone and from the team Support with investigations into patient complaints Help organise parts of projects as required Work to tight deadline and under pressure Ensure accuracy of detail at all times Ensure relevant information is recorded in the system – for example admin notes in patient records or reasons for appointments on system Work as a supportive team player to ensure overall efforts are accomplished Work effectively with individuals in other agencies to meet patients and practice needs Provide support to other areas of the business as and when required Undertake any other additional duties appropriate to the post as requested by the Partners or the Practice Manager.
